Inbox Insanity

Inbox management are one of the first things people talk to me about when discussing their admin woes.

“Oh my goodness, I get hundreds of emails a day!”

“You should see my unread notifications, it’s really stressing me out!”

“I just want to delete my email account and start again!”

Seriously, it’s crazy. Beyond crazy.  Your inbox should be delivering you messages you need or want, not giving you headaches.  So here is a radical thought, you may need to sit down for this…..


You don’t have to be at inbox zero, to be an inbox hero.


I know, sounds weird right?  Well think about it. If you’re continually worrying about what your inbox looks like, you probably not getting work done at all.  Well, not at the right productivity levels anyway.

So, what can you do?

For starters, you can give yourself a break. It’s not the end of the world to have emails in your inbox as long as there is a good reason for it.  However I have a few ideas to help keep it organised even if it isn’t empty.


  • Unsubscribe from emails you no longer read, or if you want to keep them for reference, file them in a folder to read later.
  • Tell people to take you out of any group emails you no longer need to see.
  • Set up email rules or auto responders to help file, reply or delete emails based on who they are from or what they are referring to.
  • If you find you are emailing back and forth with appointments, get a calendar scheduler and send them a link!
  • Once a task is done or an email is replied to, do you really need to keep it “just in case”? Get more comfortable with that delete button.


But it’s ok to keep emails in the inbox, it really is.  They could be serving as a reminder for something, or a to do list.  As long as you know why they are there, and it doesn’t upset you to have emails in the inbox, then let them be.  I certainly don’t have an empty inbox, but I keep it as small as I can because that’s my preference. But it certainly doesn’t work for everyone.

But just to be honest, if you are someone with 1,987 unread emails, please turn off the notifications on your smartphone.  Or just don’t show it to me, I beg you. That little red flag with such a high number inside gives me the heebie-jeebies.
